Who this policy covers

This policy applies to pavingexpertsottawa.ca and to Paving Experts Ottawa as a business operating in Ottawa, Ontario. It is written to meet the Personal Information Protection and Electronic Documents Act, the federal private sector privacy law that applies to commercial activity in Ontario.

What we collect and why

When you submit a form on this site, we collect the details you type into it. That normally means your name, your phone number, your email address, the location of the property and a description of the work you are asking about. We use those details for one purpose: to contact you directly about your enquiry, prepare a quote and, if you go ahead, carry out and invoice the work. We do not use them for anything else.

If you call us, we keep the notes needed to quote and schedule your job. If we visit your property, we take photographs of the driveway or lot so that the quote reflects what we actually saw. Those photographs are working records attached to your file. We do not publish a photograph of your property without asking you first.

Separately from anything you send us, our website collects analytics data. We use Google Analytics 4, which records page views, approximate location at city level, device and browser type, how you arrived at the site, and how long you spend on a page. It relies on cookies and similar identifiers. We also use Microsoft Clarity, which records anonymised interaction data such as clicks, scroll depth and mouse movement, and produces session replays and heatmaps. We use Clarity to find parts of the site that are confusing or broken. Neither tool tells us who you are by name.

Your choices

You can opt out of Google Analytics across every site that uses it by installing the Google Analytics opt-out browser add-on, available from Google. You can limit both tools by declining or clearing cookies in your browser settings, by using a private browsing window, or by using a tracking-blocker extension. Blocking either tool does not stop you using this site or contacting us, and it does not affect any quote you receive.

Under PIPEDA you have the right to ask what personal information we hold about you, to ask for a copy of it, to have inaccurate information corrected, and to withdraw consent for its use. Contact us using the details above and we will respond. If we cannot act on a request, we will tell you why.

How long we keep information and who sees it

Enquiries that do not become jobs are kept only as long as they are useful, and are deleted on request. Records relating to completed work, including quotes, invoices and job notes, are kept for as long as we are required to keep business and tax records.

Your information is seen by the people who need it to quote, schedule, carry out or invoice your job. We do not sell, rent or trade personal information. We share it with a third party only where that party is providing a service we need to operate, for example email or website hosting, or where we are legally required to disclose it. Google and Microsoft process the analytics data described above under their own terms.

We take reasonable steps to protect the information we hold, including limiting who can access it. No method of transmitting information over the internet is completely secure, and we do not claim otherwise.

Children and changes to this policy

This site is aimed at property owners and managers and is not directed at children. We do not knowingly collect personal information from anyone under the age of majority. If you believe we have, contact us and we will delete it.

If this policy changes, the revised version is posted here. Material changes to what we collect or how we use it will be reflected on this page rather than announced elsewhere, so it is worth checking this page if the question matters to you.
